iCloud sync and working across devices

Set up each device

Use the same iCloud account on your Mac, iPhone and iPad, allow Notera to use iCloud in system settings, and keep enough free space in iCloud and on each device. Update Notera on every device. You can continue using a local workspace without enabling sync.

Open Settings → iCloud & Storage on each device. Save and apply any pending settings first. Turn on Sync meetings with iCloud, review Sync voiceprints and Sync API keys with iCloud Keychain, then choose Enable & Merge. This joins the device’s meetings to the current iCloud library. Existing data and original recording files are retained during setup, which can temporarily require extra disk space. Finish an active recording before switching libraries.

What moves between devices

Meetings, transcripts, collections, tags, comments, reference content, prompt templates and AI reports can continue across devices. Recording files and reference originals transfer separately from meeting text. Voiceprint sync has its own switch. API keys use iCloud Keychain separately from meeting data; disabling key sync keeps a device-only copy. Sync does not prepare speech models or guarantee identical settings and feature availability on every device.

Record on iPhone, finish on Mac

  1. On iPhone, choose New Recording for a conversation, lecture or interview. Stop recording to save the meeting.
  2. Keep Notera open with a suitable connection. In iCloud & Storage, check sync status and recordings waiting to upload; use Sync Now to request another round.
  3. On Mac, wait for the meeting and required content to arrive. Correct the transcript and speakers, add comments and references, and generate or refine an AI report using a configured service.
  4. Open PDF Export Preview, select the report and its source transcript, arrange chapters and export. Citation links require the corresponding transcript and available source bindings in the combined PDF.

An exported PDF is a separate file. Save or share it to your chosen destination; synchronizing a meeting does not automatically deliver an exported PDF to another device.

Review on iPad

For a class or project review, open the synchronized meeting on iPad and compare transcript and report side by side when the window allows. Add comments or review sources, then continue detailed editing on Mac. Allow changes to sync before moving to another device. Concurrent edits can be kept as separate versions: open Saved versions to compare and choose, rather than assuming the last device overwrites everything.

When text arrives before audio

A meeting can be visible while its recording is still waiting to upload. Recordings download when played; this is not live listening or remote control of the recording device. Check the source device first. Automatic file uploads pause in Low Power Mode or Low Data Mode. Connect to Wi-Fi, or allow cellular file transfers when appropriate, and keep Notera in the foreground on iPhone/iPad while uploading. Sync Now does not bypass power/data restrictions or a server retry time. Background delivery depends on the system and is not instant.

Offline use, pausing and storage

Before travelling, use Local audio storage to keep recordings offline and confirm downloads are complete. Locally saved text and reports remain usable without a connection; models must already be prepared and external AI still needs network access. When pausing sync, choose to download current library files first if you need them offline, or pause immediately. Pausing is a device preference, not deletion of cloud content. Removing a verified local audio copy is different from deleting a meeting; meeting deletions also synchronize. Keep separate backups or exports you need.

If sync needs attention

Check the iCloud account, network, free iCloud/local storage and the displayed status on both devices. Wait for any retry time. If audio is unavailable, check pending uploads, power/data modes and interrupted-recording recovery on the source device. For version conflicts, compare saved versions. When reporting a persistent error, include app/system versions and the visible diagnostic code, with private content and keys removed.
