Notera

Privacy Policy

Effective date: October 13, 2026

Overview

This policy explains how Notera, an app from Intelligence Science, handles information when you use its Mac and iPad apps and related product and Help pages. Core recording, transcription, editing and document workflows do not require a Notera account.

Notera keeps its meeting workspace on your device. It does not automatically upload your recordings or complete meeting library to an operator-controlled meeting cloud. Optional external services and sharing actions described below have separate data flows.

Meeting content and on-device processing

Recordings, imported media, transcripts, translations, speaker names and descriptions, collections, tags, comments, reference documents and AI reports can contain personal or confidential information. Notera stores the working copies needed for its features in the local workspace.

Transcription and speaker separation run on your device for those features. Voice samples and derived voice features are stored locally and are not included by Notera in external text-analysis requests. Speaker display names or descriptions may be part of the selected text context. Apple's speech or Apple Intelligence features may require model downloads and must meet device, system, language and availability conditions.

Optional external AI services

If you configure an external AI provider and authorize an analysis, refinement or prompt-authoring task, Notera sends the selected content directly to that provider. Depending on your selected scope, this may include transcript text, translations, comments, speaker display information, tags, meeting location or reference-document excerpts. The app's task settings and disclosures let you review the content scope. Selecting a local service does not authorize an automatic external fallback.

Your API key authenticates separately with the selected provider; it is not inserted into the meeting text. Saved provider credentials use the operating system Keychain. Providers may receive connection information and process or retain submitted content under their own policies, account settings and terms. Review those policies before sending sensitive material. Deleting local content does not delete copies already sent to a provider.

Permissions and optional meeting location

Microphone access is used for recordings you start. On Mac, Screen & System Audio Recording permission is used to capture meeting system audio; this feature does not save screen video. The current iPad release uses microphone recording and imported files rather than cross-app system-audio capture. File access is used for files you choose to import or export.

Meeting location is optional and off by default. If you enable it and allow location access, Notera can attach an approximate place and rounded coordinates to new meetings; a detailed place label is a separate option. Apple's location and reverse-geocoding services may process the coordinates needed for a place lookup. Location may be included in exported material or authorized AI context when the relevant options include it. You can change feature preferences in Notera and revoke permissions in the operating system settings.

Online prompt libraries and websites

When you use an online prompt library, the configured library server receives the catalog, search, language/filter or download requests needed for that action. The library client does not send your meeting database, recordings, API keys or voice features to the catalog server. Do not enter private meeting content into a public search field.

When you visit the product or Help website, your browser sends ordinary connection information such as an IP address, requested page and browser information to the hosting service. The pages use browser-local preferences for language and appearance. The current product pages do not embed advertising or third-party analytics scripts. The bundled app Help, including its search, images, videos and subtitles, is available locally without website requests.

Exports, sharing and retention

Exported PDFs, text or subtitle files can contain the chapters, transcript passages, comments, metadata and references you selected. Internal PDF citation links point to the corresponding included transcript paragraphs; following those links does not upload the PDF or play the source audio. A file you save to a cloud folder or send to another person is handled by the destination service or recipient.

Local meeting content remains available until you remove it through the app or the device's data-management controls. Items in the trash may remain until permanently removed. Backups, exported files, operating-system cloud storage and Keychain items may have separate retention and deletion behavior; removing the app does not guarantee deletion of those copies. Manage them with the relevant system or service controls. Notera does not include automatic cross-device meeting synchronization in this release.

Purchases and app analytics

Apple processes App Store purchases and payments. Notera uses verified StoreKit transaction and entitlement information to display the Free/Pro license and restore purchases. Notera does not receive your payment-card details through that process.

Apple may provide the publisher with App Store Connect sales, usage or diagnostic information according to Apple's services and your device's sharing choices. This information is separate from the local meeting workspace. The app does not use an advertising identifier to track your activity across other companies' apps or websites.

Your choices and protecting your information

You can use local workflows, choose whether to configure an external provider, review each task's context, disable optional meeting location, revoke system permissions, remove content or clear saved credentials through the available controls. Keep your device and backups protected, and review a document before sharing it. Record or share other people's information only with the necessary permission.

Notera uses operating-system storage and Keychain mechanisms for the purposes described above. No storage or transmission method guarantees absolute security. We do not sell your meeting content or use it for targeted advertising. If you contact support, the contact details and information you choose to send are used to respond to that request; remove private meeting material and credentials from diagnostic examples.

Contact and policy updates

This policy may be updated when Notera's features or data handling change. The effective date on this page identifies the current version. Changes to external providers' practices are governed by their own policies.
